Title: Operations Manager
Terms: Full-time salaried employee
Location: Our fully accessible office is located in Guelph, Ontario and
features at-office parking as well as being on a major Guelph Transit bus
route. Flexible work options are available. We currently employ a hybrid
work model with some hours required at our office location and some
hours to be completed by working from home.
Hours of Work: Monday-Friday, 37.5 hours per week. Some evening and
weekend work required in order to work with volunteers; flexible schedules
to be arranged in lieu of overtime.
Salary range: $45,000 – $55,000, or commensurate with education and
experience. Health and dental benefits are available.

JOB DESCRIPTION: Operations Manager
Reports to: Executive Director
Works with: Executive Director, Graphic Designer, Artistic Director,
Publicist, Volunteer Program Manager, Bookkeeper.
Provides direction to: Event and Marketing Assistant, Marketing
Coordinator, Site Working Group, other volunteer committees.

JOB SUMMARY

The Operations Manager has superb organizational skills and the ability to work
to deadline as part of a team in a fast-paced environment. This position is
responsible for all site production elements for the annual Hillside Festival (July)
and Hillside Inside (January-February), including rentals and vendor coordinator,
set up and tear down coordination, sales and inventory management, and
financial reporting.
DUTIES AND RESPONSIBILITIES
Office Management
– Maintaining in-office equipment and office organization
– Collaborate with staff to manage festival planning software
Financial and Inventory Management:
– Preparing and presenting regular ticket sales report
– Overseeing alcohol suppliers sponsorship and ordering for both festivals
– Managing merchandise design, ordering, sales, and inventory
– Manage Square payment system (in office and at festival) with volunteer
support and ticket scanning system
– Manage performer merch receipt, sales, and return.
– Reconcile sales in all areas with inventory
– Support grant writing initiatives, as needed.
Festival infrastructure management
– Oversee Site Working Group, a volunteer committee, in planning for
complete set-up and tear-down of summer festival
– Manage vendor relationships (waste management, portatoilent rentals,
trailer rentals, telecommunications, graphic design, tents, shuttle buses,
etc)
– With Site Director, manage schedule of all rental items and vendor
deliveries to the festival sites and coordinate their return
– Oversee collection of site needs from Coordinated Areas and liaise with
coordinators and suppliers
– Oversee AGCO Special Occasion Permit applications
– Manage application for all building permits for tent structures
– Manage venue rental
Marketing and communications
– Oversee design of digital festival app and coordination of program
information
– Oversee website design and accuracy
– Collaborate with staff in managing ongoing marketing in print, digital, and
social media

QUALIFICATIONS AND SKILLS

– Post-graduate degree in administration, production, business
management, arts, or a related field, or equivalent work/education
experience.
– Superior organizational skills and attention to detail
– Strong communication skills, both written and oral
– Demonstrated success in managing inventory and tracking sales
– Experience in planning, scheduling, and managing the production
requirements of major events
– Knowledge of marketing and social media strategy, communications
strategy, database management, website and digital platform design,
and/or experience with music and live event production would be an asset.
WORKING CONDITIONS
Duties are performed in an accessible office with a desk and computer. Our
office is comfortable and relaxed, with a side porch and back patio. This position
requires a lot of communication, so the candidate should be prepared to meet
over Zoom, on the phone, or in person and to collaborate extensively over email.
