The role of the Volunteer Coordinator is to recruit, train, and manage approximately 120 volunteers in various roles for the Eden Mills Writers’ Festival.
Estimated Timing:
- 10 hours in July
- 30 hours in August
- 40 hours in September (must be available full-time on EMWF Festival Weekend – Friday, September 6th through to Sunday, September 8th, with overtime hours on Festival Sunday)
Responsibilities:
- Support the recruitment of volunteers for festival weekend (September 8-10th)
- Coordinate the scheduling of and participate in volunteer village tours and training sessions (online and in-person)
- Coordinate the scheduling of all volunteers
- Communicate with volunteers to confirm roles, share instructions, provide training materials, answer questions, etc.
- Attend the festival in-person: Be available to volunteers by phone and email for last-minute cancellations, troubleshoot day-of absences, assign floaters
- Set-up and manage volunteer registration tent: welcome volunteers, provide them with their wristband and lunch voucher, direct them to their team lead, distribute volunteer pinnies, walkie-talkies, and food vouchers, collect outstanding volunteer waivers, sign volunteer hours forms (as needed), etc.
- Oversee and support volunteer team leads
- Liaise with parking and security teams
- Check-in with gate volunteers on a regular schedule
- Be available to problem-solve and address any issues that arise
Requirements:
- Experience supervising and delegating to a team. Previous experience working as a Volunteer Coordinator would be a strong asset
- Experience working in a fast-paced, demanding environment
- Positive attitude
