Volunteer Coordinator, Eden Mills Writer’s Festival

The role of the Volunteer Coordinator is to recruit, train, and manage approximately 120 volunteers in various roles for the Eden Mills Writers’ Festival.

Estimated Timing:

  • 10 hours in July
  • 30 hours in August
  • 40 hours in September (must be available full-time on EMWF Festival Weekend – Friday, September 6th through to Sunday, September 8th, with overtime hours on Festival Sunday)


  • Support the recruitment of volunteers for festival weekend (September 8-10th)
  • Coordinate the scheduling of and participate in volunteer village tours and training sessions (online and in-person)
  • Coordinate the scheduling of all volunteers
  • Communicate with volunteers to confirm roles, share instructions, provide training materials, answer questions, etc.
  • Attend the festival in-person: Be available to volunteers by phone and email for last-minute cancellations, troubleshoot day-of absences, assign floaters
  • Set-up and manage volunteer registration tent: welcome volunteers, provide them with their wristband and lunch voucher, direct them to their team lead, distribute volunteer pinnies, walkie-talkies, and food vouchers, collect outstanding volunteer waivers, sign volunteer hours forms (as needed), etc.
  • Oversee and support volunteer team leads
  • Liaise with parking and security teams
  • Check-in with gate volunteers on a regular schedule
  • Be available to problem-solve and address any issues that arise


  • Experience supervising and delegating to a team. Previous experience working as a Volunteer Coordinator would be a strong asset
  • Experience working in a fast-paced, demanding environment
  • Positive attitude
